The Ever After Ball is committed to providing a safe, welcoming, and magical environment for all children and families attending our events.

We recognise our responsibility to safeguard and promote the welfare of children and expect all staff, performers, and volunteers to share this commitment at all times.

Purpose of this policy

This policy outlines how we:

  • Protect children and young people who attend our events

  • Provide parents and guardians with reassurance about safety

  • Ensure all team members understand their safeguarding responsibilities

Scope

This policy applies to:

  • All staff members

  • Performers (including princes, princesses, and entertainers)

  • Volunteers and contractors

  • Any third parties working on behalf of The Ever After Ball

Responsibility for Children

  • Children must remain under the supervision of a parent or responsible adult at all times during the event.

  • The Ever After Ball is not a childcare provider, and responsibility for children remains with their accompanying adult.

Safe Recruitment

  • We are committed to ensuring that all individuals working with children are suitable to do so. This includes:

  • Appropriate vetting and safer recruitment processes

  • DBS (Disclosure and Barring Service) checks where required

  • Ensuring performers and staff understand appropriate behaviour when interacting with children

Code of Conduct

  • All staff, performers, and volunteers are expected to:

  • Treat all children with respect, kindness, and dignity

  • Ensure interactions are appropriate, professional, and age-appropriate

  • Avoid any physical contact unless appropriate (e.g. high-fives, guided interactions in performances) and always in a safe and open environment

  • Never be alone with a child out of sight of others

  • Report any concerns immediately

Photography & Filming

We occasionally capture photographs and video footage at our events to help showcase the experience for future attendees. As this is a public, ticketed event, general filming will take place throughout the day.

 

The majority of images and footage will focus on the event as a whole, including wide shots of activities, entertainment and the overall atmosphere. Some closer images or video clips may be taken of children participating in the activities. These images will used solely for marketing and promotional purposes, including on our website, social media channels and printed advertising materials. 

We are committed to protecting children's privacy and ensure the following;

  • No child will ever be identified by name or any other personal detail in any published materials

  • Images will only be used to represent the event experience and activities

  • All content will be appropriate and respectful

We ask all parents/guardians to indicate their preference regarding the use of images of their child/children in the below Photography Consent Form prior to attending any of our events.

The link to this form will be sent to all ticket holders prior to the event date they have booked, and will also be available to complete at the welcome desk on arrival should this not have been done beforehand.

If you choose not to consent, we will provide your child with an identifiable sticker to wear during the event so that photographers are aware and can take all reasonable steps to ensure that your child is not included in any photographs or footage.

Personal Photography

​We understand that parents/guardians and children may wish to take their own photos and videos during the event which is permitted and encouraged. We kindly ask that you;

  • Only take images of your own children, or general shots of the event as a whole

  • Do not take photos or videos of other children unless you have the permission of their parent/guardian

If any behaviour relating to photography or filming is considered inappropriate or raises concern, it should be reported to a member of the event staff. Any individuals acting in a suspicious or unsafe manner may be approached by event management personnel and asked to stop or leave the event if deemed necessary. 

Managing Concerns

If a safeguarding concern arises:

  • It must be reported immediately to the designated safeguarding lead (DSL) or event manager

  • All concerns will be taken seriously and recorded

  • Appropriate action will be taken, including contacting relevant authorities if necessary
